Trade fair times

Friday, 14 November 2025

Arrival & parking

Parking costs are to be paid by the exhibitor.

Set-up

From 11:00 on November 14th 2025 – the stand must be ready by 13:30.
From 12:00 on November 15th 2025 – the stand must be ready by 14:30.

Dismantling

November 15th 2025, from 21:00 to 21:30

We ask you to keep the stand manned until 9.15 pm to secure goods and prevent theft. The remaining goods can be taken away by the exhibitors or left behind. Leftover goods will be used by WEIN & CO for staff training. Do not hand out bottles to visitors!

Exhibitor pass

You will receive 3 exhibitor passes/day per registration.

You will receive these at the winemaker registration on Friday, November 14th 2025 from 11:00 - 13:30 and must be kept for the second day of the fair.

Exhibitor glasses

You will receive a glass token when you register as a winegrower. With this you will receive 1 glass without insert at the glass counter.

Exhibitor stand

Each exhibitor will be provided with a 175cm stand.

You are welcome to request a shared table when registering. Please note that tables can only be shared within the same region.

The exhibitor stand will be cleaned after the first day of the fair – we therefore ask you to store your personal belongings under the table if necessary.

Exhibitor stand supervision guidelines

The exhibitor undertakes to maintain permanent supervision of the stand during opening hours. In the event of a breach of this supervision obligation, the exhibitor undertakes to pay a penalty in the net amount of € 500.00 per event day.

If the exhibitor leaves the stand early, the penalty will be charged on a pro rata basis.

If you would like to make use of stand support from WEIN & CO, please contact mondovino@weinco.at by October 31st 2025. A net fee of € 30.00 per hour will be charged for stand support.

Exhibitor stand equipment

Covered exhibitor table, cooling facilities, wine cooler incl. crushed ice for the table, a spittoon, fresh bread, Vöslauer mineral water, exhibitor sign and your ordered, chilled wines.

For space reasons, please do not bring your own roll-ups.

Waste

Each exhibitor island is equipped with a bin for white glass and for coloured glass, a residual waste bin and an organic waste bin for leftover wine.

Orders

There will be a comprehensive digital solution that allows all visitors to create a digital shopping basket on their smartphone using a QR code. This application can be used to create a shopping list or place an order directly.

Catering

During the event, catering stands will be available with their offerings.

Cooling facilities

Freezer cabinets will be provided at the exhibitor stand. These will be shared by 2-4 wineries. All wines will be chilled by WEIN & CO the day before.

Crushed ice will be distributed by WEIN & CO staff during the fair.

Product registration/units/delivery/billing

Product registration will take place in August/September 2025 to your previously registered e-mail address. This must be completed by September 12th 2025. No further products can be defined after this date.

The products will be taken from the WEIN & CO central warehouse, delivered to the location, chilled and then invoiced at the purchase price together with the stand fee. Any discounts cannot be taken into account when invoicing. Only products from the WEIN & CO range and the respective vintages represented in the range may be presented.

For logistical reasons, payment by consumption is not possible. All wines ordered and delivered to the fair will be invoiced. If there are any closed and originally packaged products left over, please take them with you. If they remain on the stand, we will use them for staff training.

They will be charged according to the product registration. When registering as an exhibitor, please provide your current billing address and indicate whether you would like us to deduct the invoice amount from any outstanding receivables. Invoicing will take place after the event complaints are possible until December 13th 2025.

Wines can be ordered in carton units of 6 bottles (12/18/etc.). Minimum quantity per product: 12 bottles. Exceptions are spirits and delicatessen.

Programme

You will receive the programme in good time before the start of the fair.

Cancellations

Cancellations by exhibitors must be made in writing and are subject to the following conditions:

Cancellation is possible for exhibitors until August 31st 2025, so that no cancellation fees will be charged for cancellations up to this date. In the event of a later cancellation, exhibitors must pay the following cancellation fees:

  • for cancellations in the period from September 1st to September 30th 2025: cancellation fee of 50% of the agreed total price
  • for cancellations in the period from October 1st to October 31st 2025: cancellation fee of 75% of the agreed total price
  • for cancellations after October 31st 2025: cancellation fee of 100% of the agreed total price

WEIN & CO reserves the right to delist exhibitors (e.g. for capacity reasons, due to specifications by landlords or authorities, official or legal requirements in the context of events, ...). In the event of delisting by WEIN & CO, the exhibitor shall not be charged any costs or cancellation fees. WEIN & CO shall not assume any frustrated expenses or other costs incurred as a result of the listings!

Electricity requirements & water connection

One distributor with different amperages will be available per column.

There is no water connection at the exhibitor stand.

Advertising ban

Exhibits, printed matter and advertising material may only be displayed within the rented stand, but may not be distributed in the hall aisles or on the exhibition grounds. (Exception: special authorisation for sponsoring)

Wein Erlebniswelt

There will be a separate area with exclusive lectures and Masterclasses. Tickets for these 'training courses' can be purchased separately. There will be 3 courses a day on different topics. The duration of a course is 60 minutes.
